Privacy policy

Kilele Engineering Careers respects your privacy. This policy explains what personal data we collect, why we collect it, how we protect it and the rights you have under the Data Protection Act, 2019 of Kenya.

1. Data we collect

• Account details: name, email address, phone number, career stage and engineering discipline.
• Service materials: CVs and other documents you upload, LinkedIn profile links, notes, assessment reference codes and the results our reviewers record.
• Payment information: the M-Pesa phone number used, transaction references and payment status. We never receive or store your M-Pesa PIN.
• Bookings and communications: session times, messages you send to support and emails we send you.
• Technical data: IP address, browser type and basic usage information needed to keep the site secure and working.

2. Why we use it

• To create and manage your account and deliver the services you buy (performance of a contract).
• To process and verify payments and keep financial records (legal obligation and contract).
• To send service updates, booking confirmations and reminders.
• To keep the platform secure, prevent fraud and improve our services (legitimate interests).
• To send occasional news about new services, only if you agree (consent). You can opt out at any time.

3. Who we share it with

• Mentors and reviewers assigned to your order, only to the extent needed to deliver it.
• Safaricom PLC, to process M-Pesa payments.
• Testmoz, the online testing platform used for the career readiness assessment, which receives the answers you submit there.
• Service providers that host our website, database and email, under appropriate confidentiality terms.
• Authorities, where the law requires it.

We do not sell your personal data and we do not share your CV or results with employers without your explicit permission.

4. How we protect it

Your documents and reports are stored privately and can only be downloaded after you sign in. Passwords are stored using strong one-way hashing. Access by our team is limited to the people who need it, and administrative actions are logged. Connections to the site are encrypted with HTTPS.

5. How long we keep it

We keep account and service records while your account is active and for up to two years afterwards, so you can access your reports. Payment records are kept for as long as required for tax and accounting purposes (generally at least five years). You can ask us to delete uploaded documents sooner.

6. Your rights

You have the right to be informed about how your data is used, to access it, to correct it, to object to certain processing, and to request deletion where the law allows. To exercise these rights, contact us at admin@toppickz.com. If you are not satisfied with our response, you may complain to the Office of the Data Protection Commissioner (ODPC).

7. Cookies

We use a strictly necessary cookie to keep you signed in. If analytics are enabled, they are configured to anonymise IP addresses and are used only to understand how the site is used.
